Your First 30 Days on New RA Software

The software you just signed up for does nothing until it is configured, populated, and actually used. Here is what the first month should look like.

This is a different moment from the first 90 days after SEBI registration, which is about standing up a compliant practice from nothing. This is about a practice that already exists, adopting a new tool. Different problem, same principle: a plan beats winging it.

Week 1: Foundation

Import your existing client book, including KYC and consent records where the platform supports it
Connect your filings sources and confirm BSE and NSE coverage matches your watchlist
Set up your team accounts and permissions if you are not solo
Run one research note through the full send-and-log cycle as a test, on yourself or a colleague

Week 2: Compliance scaffolding

Confirm the Regulation 25 audit trail is capturing every field a SEBI inspection would expect
Set up MITC and consent capture for any new clients you onboard during the transition
Configure your white-label delivery channels (WhatsApp, email) with your firm branding
Export a sample of the audit trail and check it reads cleanly, before you are relying on it under pressure

Week 3: Workflow

Draft and send your first real research note through the new system to your full client book
Set up any recurring templates or note formats you use often
Train any team members on the parts of the workflow they will actually touch
Identify one thing that is slower than your old process and fix or work around it now, not in month three

Week 4: Decommission and review

Confirm the audit trail has no date gap between the old system and the new one
Decommission the old system only after this is confirmed, not before
Review what worked and what did not with your team, if you have one
Diarise the next compliance deadline that falls due on the new system, so nothing falls through the transition

The most common mistake

Running the old and new systems in parallel indefinitely because week four never quite happens. Set the decommission date for the old system when you start, not after you have already migrated, and hold to it once the audit trail is confirmed continuous. An indefinite parallel run is not a safety net, it is two systems to keep compliant instead of one.
